Flu vaccination payments – Are you checking them?

PSNC has received a number of queries from community pharmacy contractors regarding their Flu Vaccination Service claims from the 2016/17 flu season.  Where their payment queries have fallen outside of the flu vaccination season 2016/17 (after 31st March 2017), pharmacies have had to make claims directly to NHS England instead of to the Pricing Authority which can be time consuming to resolve and may result in non-payment.

To mitigate any flu payment issues during the 2017/18 season, PSNC recommends that contractors take the following actions:

  1. Ensure you are using the correct claim form for your flu vaccination claims, which can be downloaded from the NHS Business Services Authority (NHS BSA) website – failure to use the correct form will result in non-payment.
  2. Make sure you are sending your flu claim form by the 5th of the following month in which the vaccinations were administered, along with your end of month prescription bundle.
  3. Keep a copy of your flu claim form so that you can reconcile the claims against what the Pricing Authority pay you, as itemised on your printed FP34 Schedule of Payment.
  4. IT platforms such as PharmOutcomes or Sonar may allow you to print out the flu claim form; however, you cannot claim for payment through this type of platform. You must submit the claim form to the Pricing Authority, along with your end of month prescription bundle to claim payment.
  5. If you believe that the Pricing Authority has made an error with your flu vaccination payments, contact them immediately to resolve any payment issues swiftly. The Pricing Authority will endeavour to resolve your query as soon as they can; however, depending upon the nature of the query it may require referral to NHS England for a decision.
  6. Ensure you send your last flu vaccination claim form for the season no later than 5th April 2018; the Pricing Authority will be unable to process claims after this date and the service specification states that late claims will not be processed. Should a query arise in relation to a payment earlier on in the flu season, the Pricing Authority will refer this to NHS England for a final decision.

PSNC would like to see flu vaccination payments digitised, enabling more accurate reconciliation of payments; we are pushing NHS England to agree to the Pricing Authority adopting this approach via the ‘Manage Your Submissions’ portal which the Pricing Authority is currently developing.
